How Customer Emails Are Handled Each Day

I am Rafael. I work on a support team that receives hundreds of messages daily. Most emails are answered within four hours, and urgent cases are flagged automatically when certain words are detected.

Incoming mail is sorted into folders by topic. Billing questions are separated from technical problems, and refund requests are sent to a small specialist group. Attachments are scanned before they are opened, and suspicious files are blocked.

Templates are used for common replies, but each message is personalised before it is sent. Names are copied carefully, and details from the original email are repeated so customers feel heard. Tone is adjusted when frustration is expressed.

Long threads are read from the oldest message upward. Previous answers are checked so contradictory information is not given. When a case is complex, notes are added for colleagues who may be involved later.
