I work in a legal office where hundreds of files are handled every week. When a new contract arrives, it is scanned by the reception team and then it is stored in a secure folder on the server. Sensitive pages are never left on open desks because confidential data must be protected at all times.

Each morning incoming mail is sorted by two assistants who label every envelope with a colour code. Urgent letters are marked in red and they are delivered to senior partners before ten o'clock. Routine correspondence is opened by junior staff, and duplicate copies are filed by the archive clerk on the ground floor.

While clients wait in the meeting room, their identity documents are checked by our compliance officer. Passports and driving licences are copied by a dedicated machine, and the copies are stamped with the date by hand. Original documents are returned to clients immediately after they are verified by two different employees.

At midday the kitchen is cleaned by a contracted team, and fresh towels are placed in every bathroom by the same crew. Coffee machines are refilled by whoever arrives first, but the main supply of beans is ordered by our office manager every Friday. Empty cups are collected from desks and they are washed in the staff kitchen before the afternoon shift begins.

In the afternoon new case files are created by paralegals who enter client details into the database. Reference numbers are assigned automatically by the software, but final approval is given by a supervising lawyer. When a mistake is found, incorrect entries are corrected by the person who made the error, and a note is added to the log by the team leader.

Reports for external auditors are prepared by the finance department during the last week of each month. Figures from every department are gathered by one analyst, and discrepancies are investigated by senior accountants before the report is sent. Once the draft is approved, it is emailed to the board and a printed copy is kept in the locked cabinet by the finance director.

Training sessions are held every quarter, and safety procedures are explained by an external consultant. New hires are guided through emergency exits, and fire drills are announced by email two days in advance. Participation is recorded by team managers, and certificates are issued by the human resources office after each course is completed.

Our building is monitored by security cameras that are checked nightly by a remote control centre. Access badges are issued by reception and they are deactivated immediately when an employee leaves the firm. After hours, the main doors are locked by an automated system, and alarms are tested every Sunday morning by the maintenance contractor.

Client calls are answered by trained receptionists who follow a strict script. Messages are written down by hand when the line is busy, and they are passed to the correct lawyer within fifteen minutes. Voicemail recordings are transcribed by support staff, and urgent requests are flagged in red by the duty partner on call.
