I read the message on the tram and replied that I would call the manager when I arrived. Tom thanked me and said he would prepare the slides if I handled the schedule. We often help each other this way because our desks sit opposite each other on the third floor.
When I entered the building, reception called me to say a parcel waited at the desk. I picked it up and brought it upstairs. Tom saw the box and asked me if the supplier sent the samples we ordered last week.
I opened the parcel at my desk and showed him the contents. The colours matched our design brief, so I photographed them and sent the images to our manager. She replied within minutes and asked me to thank the supplier for the fast delivery.
At ten the manager called Tom and me into her office. She wanted to review the presentation before the client arrived at noon. She asked Tom to explain the first three slides and told me to note any questions she raised.
Tom spoke confidently while I wrote key points in my notebook. The manager asked him to simplify one chart because the labels looked crowded on screen. Tom agreed and said he would fix it before lunch.
After the meeting Tom asked me to test the projector in the small conference room. I connected my laptop and checked the resolution while he adjusted font sizes on the slides. A technician passed the door and offered to help us if the cable did not fit.
Before the client arrived, our director visited the room and asked us to welcome the guests warmly. She told Tom to introduce the team and asked me to offer drinks from the tray near the window. We nodded and reviewed the agenda one last time.
The client team arrived at twelve fifteen. Tom greeted them and introduced me as the project coordinator. I showed them to their seats and asked if they wanted coffee or water before we started.
During the presentation the client asked Tom to return to the budget slide. Tom navigated back smoothly and answered two detailed questions. I watched the clock and passed him a note when we needed to move to the next section.
After the meeting the client thanked us and said the proposal matched their needs well. Our manager asked me to send the final document by five o'clock. Tom offered to proofread it and told me he would check the appendix for typos.
At four I emailed the file and copied Tom and our manager. Tom called me ten minutes later and said he found one small date error on page nine. I corrected it quickly and resent the file with a short apology to the client.
