I am Hannah. I work in admissions at a language school that hosts international students throughout the year. Last autumn our office migrated to a new document system, and for several weeks confusion was widespread. Forms that had been completed were not visible to reviewers, and visa support letters were delayed.

On the first Monday after the launch, my supervisor asked whether backups had been created before the switch. IT confirmed that snapshots had been taken, yet permissions had not been copied correctly. Applicants were told to resubmit certain files, and staff were advised not to delete messages from the old inbox until the migration was verified.

If the testing phase had included real admissions scenarios, errors would have been caught earlier. Sample applications would have been processed, flags would have appeared, and developers would have adjusted settings before go-live. Had we insisted on that trial, students would not have waited anxiously for confirmations.

A counselor wondered why passport scans had disappeared from one folder. Investigation showed that filenames with special characters had not been imported. Students were asked to rename documents and to upload them again using plain titles. Instructions were translated into four languages so that misunderstandings would be reduced.

During training, we were told to check three fields before marking a file complete. Dates would be validated, signatures would be matched against IDs, and tuition deposits would be reconciled with finance. Trainers asked us not to approve incomplete packets even if deadlines were near.

If I were designing the interface, I would highlight missing items in red and would send automatic reminders forty-eight hours before intake. Alerts would be logged, managers would see dashboards, and applicants would receive clear lists of what had still not been received.

Parents called daily to ask whether accommodation contracts had been signed by the housing office. We replied that contracts were generated automatically but required manual review when exceptions were requested. Several students had asked for single rooms, and those requests had been forwarded though responses had not yet been returned.

The registrar requested that we document every phone call in the student record. Notes were typed, timestamps were added, and follow-up tasks were assigned. She asked whether audio recordings of orientation sessions had been uploaded for students who arrived late. Recordings existed, but links had not been embedded in the welcome pack.

If links had been included from the start, repeated questions would have decreased. Staff would have directed newcomers to videos instead of repeating policy details, and evening shifts would have been less hectic. Mixed outcomes appear when technology works yet content is not connected logically.

One evening, an applicant from overseas asked if she should book flights before receiving the final letter. I told her to wait until confirmation was issued and advised her not to purchase non-refundable tickets prematurely. She said she would follow that advice if a timeline were provided in writing.

Compliance later asked whether financial guarantees had been verified for every sponsor.
