I am writing because the delivery schedule for the Riverside project was not met last quarter, and several stakeholders have asked for a clear explanation. If we had communicated delays earlier, trust would not have been damaged to the extent that was reported in yesterday's meeting.

As you know, the initial timeline was approved in May after budgets had been reviewed by finance. Components were ordered, suppliers were contacted, and milestones were entered into the shared tracker. Nevertheless, two critical shipments were held at customs because documentation had not been updated when regulations were changed in June.

The logistics coordinator asked whether alternative routes had been explored. We replied that air freight had been considered, but costs would have exceeded the contingency that had been allocated for transport. She advised us to request a revised quote and not to assume that sea freight would remain the cheapest option throughout the year.

If I were managing the contract today, I would require weekly status reports from every vendor. Delays would be flagged immediately, and clients would be informed before deadlines were missed. I believe fewer surprises would occur if dashboards were shared with external partners rather than kept internal.

During the audit, auditors wondered why penalty clauses had not been triggered when milestones slipped. Legal files were examined, and it was found that extensions had been granted informally without being recorded in the system. The compliance officer told us to document every amendment and to avoid verbal agreements that could not be verified later.

Had suppliers been penalised according to the original terms, they might have prioritised our orders more consistently. Instead, relationships were preserved, yet delivery performance declined. Mixed results appear when flexibility is valued but accountability is weakened.

You asked whether the design revisions contributed to the delay. They did, though the impact was smaller than the shipping bottleneck. Drawings were approved after client feedback had been incorporated, and manufacturing was paused until specifications were finalised. If those revisions had been requested earlier, production would have resumed without idle weeks at the factory.

The client representative requested that we present a recovery plan by Friday. She asked us not to promise dates that could not be supported by confirmed capacity. A draft was prepared, buffers were added, and assumptions were listed so that risks would be visible to everyone who reviewed the document.

If the recovery plan is accepted, partial deliveries will be scheduled so that essential modules are installed before winter. Training sessions will be arranged, manuals will be translated, and onsite support will be provided during commissioning. Had this phased approach been proposed in August, criticism might have been softer.

Our team was instructed to hold a retrospective with suppliers present. Minutes were taken, responsibilities were reassigned, and a single liaison was appointed for customs paperwork. Participants were told to escalate blockers within twenty-four hours rather than waiting for monthly reviews.
