I am Marcus. Our department hired an external consultant in March because productivity had been falling for two quarters. When she arrived, several workflows had already been reviewed internally, but no formal report had been published. The consultant told us to gather every document that had been created during the previous year.

She asked whether meeting notes had been stored in a shared folder. Many files had been saved on private drives, and important decisions had not been recorded consistently. If those notes had been centralised earlier, misunderstandings would have been avoided. She advised us not to delete any version until the audit was finished.

During the first workshop, she wondered why customer complaints had been rising while response times had been shortened. We explained that staff had been reassigned to a new product line, and training had not been completed on schedule. If additional trainers had been hired, service quality would have remained stable.

The consultant requested that we map each task to a single owner. She told the team leads not to assign duplicate responsibilities without written approval. Roles would be clarified, handovers would be documented, and progress would be tracked in a dashboard that was being configured by the IT unit.

If I were responsible for the rollout, I would introduce brief daily stand-ups so that blockers could be identified quickly. Issues would be escalated when deadlines were missed, and support would be offered before projects were delayed further. She agreed that rhythm would help if meetings were kept under fifteen minutes.

She asked how budgets had been approved for software licences. We replied that purchases had been authorised by finance after requests were submitted online. She noted that several licences had not been used and suggested that subscriptions be cancelled if utilisation remained low.

One analyst reported that a vendor had promised integration that had never been delivered. The consultant wanted to know whether penalties had been discussed in the contract. Legal documents were located, clauses were examined, and it was confirmed that remedies could be pursued if milestones were not met.

If the vendor had fulfilled the first phase, we would not be searching for a replacement platform today. Demos would have been scheduled, staff would have been trained, and data would have been migrated without emergency overtime. Had the contract been monitored monthly, the gap would have been noticed sooner.

She instructed us to interview five clients who had been onboarded recently. Questions were prepared, calls were arranged, and transcripts were shared with management. Clients were asked whether expectations had been met during implementation. Several answers revealed that onboarding materials had not been translated for international teams.

The consultant also told the design group to simplify the approval form. She asked them not to add fields unless a legal requirement had been identified. Forms would be tested with new employees, feedback would be collected, and revisions would be published within ten days.

If forms had been shorter from the beginning, approval cycles would have taken hours instead of days.
